Impact of COVID-19 on ACoP11

Dear ISoP Member:


I hope this message finds you and your family safe and healthy. These are challenging times and we all have unique personal experiences due to the circumstances unfolding around the world. While it may not be at the top of your list, I am sure many of you are wondering “What about ISoP and ACoP?” Personally, I can’t imagine a fall without ACoP. It is definitely a great time to catch your breath, learn new science and network with our pharmacometrics family.

The Board of Directors has been actively meeting to evaluate what we can do to support our members during this time. We are carefully monitoring the progression and impact of COVID-19 from multiple angles.

First, we are still planning to hold the 2020 ACoP11 Annual Meeting, October 4-7th at the Gaylord Rockies Resort and Convention Center near Denver, in Aurora, Colorado.

We are actively working through all possible scenarios for how this meeting will unfold and its impact to you.

• If the conditions closer to the meeting still impose U.S. Federal and/or local restrictions that make it impossible and/or impractical to host our annual meeting in a traditional way, ISoP will cancel ACoP11.

• Recognizing the loyalty of our membership and contributions they have made over the past years, if ISoP cancels the annual meeting, we will reimburse ISoP members and students/trainees 100% of their paid registration fees. Attendees registered as non-members will be reimbursed 70% of their paid registration fees; the remainder will be retained as processing fees.
• With respect to our valued Exhibitors and Sponsors, ISoP will contact each group individually to evaluate options that best suit their needs, including credit toward ACoP12.

• We continue to plan for and increase our membership benefits year upon year. As such, please note that expenses outside of meeting registration, including your annual membership dues, are not subject to reimbursement by ISoP. Please refer to our website and email updates around upcoming ISoP member activities and initiatives.

What about key meeting deadlines?

• In response to concerns about obtaining disclosure approvals due to time-sensitive business needs, the abstract submission deadline has been extended to May 15, 2020.

Will I be asked to register at the time of my abstract and programming acceptance?

We are planning for a successful ACoP meeting. Based on that, we will be asking those with accepted submissions to pre-register to secure your place at the annual conference. In accordance with our standard reimbursement policy, we will honor written requests for full reimbursement of paid member or non-member registration fees, for any reason, until midnight EDT on August 4, 2020. Furthermore, if ISoP cancels the meeting due to the COVID-19 situation, we will be providing refunds as described above.

Will I be reimbursed for my paid registration fee associated with workshops and the ACoP 11 preconference?

In accordance with our standard reimbursement policy, we will honor written requests for full reimbursement of paid member or non-member ACoP preconference and/or workshop registration fees, for any reason, until midnight EDT on August 4, 2020. Furthermore, if ISoP cancels the meeting due to the COVID-19 situation, we will provide refunds of the preconference registration fees as described above. Refunds for paid workshop registrations will be at the discretion of each workshop organizer; please be sure to note the refund policy when you register for workshops.

Can I sign up for ISoP membership any time before the meeting (but after registering for ACoP as a non-member) to get full registration refund if the meeting is cancelled?

You can sign up for ISoP membership anytime during the year. ISoP continues to improve membership benefits year upon year. A key benefit includes a significant discount in the ACoP registration fee. Unfortunately, we cannot provide you the member registration benefits and discount after you register for the ACoP meeting as a non-member. We strongly encourage you to sign up for ISoP membership or renew your membership before registering for ACoP.

What about holding a virtual meeting if ACoP11 is cancelled?

We sincerely hope it doesn’t come to this; however, we already are planning for creative and alternative ways to bring meeting content to our members and registered attendees. Please stay tuned!
